Privacy Policy
This policy explains how VCTRON processes contact enquiries and website usage data, why it is used and what your rights are.
Who is responsible
VCTRON Industrial Automation is the data controller for personal data processed through this website. For any questions about this Privacy Policy or your personal data, you can contact us at mats.volckaerts@vctron.com.
What data is collected
The contact form collects the information you enter:
- Your name
- Your email address
- Your company name (optional)
- The content of your message
No account, profile or database of visitors is built. The site does not ask for any data beyond what is needed to answer your enquiry.
Why this data is processed
Your data is processed to read and respond to your enquiry about automation engineering work and, where applicable, to take steps at your request prior to entering into an agreement.
The processing is based on the applicable legal basis under the GDPR, including the steps necessary to respond to an enquiry or to take steps at the request of the individual before entering into a potential agreement.
Your data is never sold, rented or used for advertising or automated profiling.
How your contact data is used
The details you submit through the contact form are sent to VCTRON by email so that we can respond to your enquiry. Any follow-up may take place by email or, where you voluntarily provide a phone number, by phone. If an enquiry leads to a project, relevant correspondence and administration may be retained as part of the normal business relationship and to meet applicable legal and accounting obligations.
Retention periods
Enquiry messages that do not lead to a working relationship are kept only as long as needed to handle the conversation and then removed, typically within 12 months. Where an enquiry becomes a project, related correspondence and administration are retained for as long as required to fulfil the engagement and to meet legal and accounting obligations.
Security
Reasonable technical and organisational measures are in place to protect your data. The website is served over an encrypted HTTPS connection, form submissions are transmitted securely, and access to submitted messages is restricted. A simple honeypot field is used to reduce automated spam; it does not collect information about you.
External service providers
This website is hosted on Vercel, which processes the technical requests needed to serve the site. Contact form submissions are delivered by email through an email/SMTP provider so that your message reaches VCTRON. These providers may process the information necessary to provide their services and act as processors on our behalf.
Analytics & cookies
The site includes Vercel Web Analytics and Speed Insights to measure page visits and website performance. Vercel Web Analytics does not use cookies. These measurements are separate from the information submitted through the contact form. No advertising cookies are used.
Your rights under the GDPR
Under the General Data Protection Regulation (GDPR), you have the right to:
- Access the personal data held about you
- Have inaccurate data corrected
- Request erasure of your data
- Restrict or object to the processing of your data
- Request the transfer of your data (data portability)
- Where processing is based on your consent, you have the right to withdraw that consent at any time, without affecting the lawfulness of processing carried out before withdrawal.
To exercise any of these rights, email mats.volckaerts@vctron.com. You also have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit).
Changes to this policy
This privacy policy may be updated to reflect changes to the website or legal requirements. The version published on this page is the one that applies, and any significant changes will be reflected here.
